Projects (Central Portfolio)
A single list of all grant projects (Erasmus, TÜBİTAK, Horizon) with program, status and text filters. New projects start from a kit.
Project Room
The shared workspace of a single project: participants, section-level edit and review permissions, pending author/reviewer invitations.
My Documents
The user's own outputs (Word/PDF exports). Personal; no license gate.
Team and Permissions
Member and seat management, invitations. Pending invitations are visible only to owners and admins.

The workspace's license/package purchase and status screen.
Organizational MemoryTeam + Office
Comes with a paid workspace (Team Workspace or Grant Office). Whichever package you choose, you get the full library - we do not sell a trimmed-down version.
Content Library
Reusable text templates, document/asset references and people/experts. Shared across the team.
Organizations
Directory of organization profiles (universities, NGOs, SMEs etc.). Restricted records are visible only to owners and admins.
Partners
Directory of partner organizations; same model as Organizations. Keeps partnership history in organizational memory.
Coordinator role
The middle layer: leads the projects they are assigned to and accesses the organizational library; office modules are closed by default and opened per module by an operator.
Grant Office Operation ModulesGrant Office only
Requires an active Grant Office license. Not available in Team Workspace. These modules are open to core staff (operators); closed to coordinators by default and openable per module by an operator. Project participants never see them.
Idea Hub
The intake center where staff submit project ideas and route them to a target call or organization. Ideas are evaluated here before becoming full projects.
Go/No-Go Assessment
A go/no-go decision for each idea; recorded and feeding the Reports dashboard. Disciplined screening before spending resources.
Call Radar
The grant calls the office tracks with their deadlines; sorted by deadline, with linked PDFs and a validator.
Calendar (Deadline Radar)
Calendar view of real project and call deadlines. No fabricated dates; only real data in the system.
Workflow
The board moving each project through defined stages: Draft, Internal Review, Approved, Ready to Submit, Submitted, Outcome Recorded.
Quality Gate
A submission-readiness check that reads the project's real draft data against the family's official section/word/page limits and reports gaps.
Reports
Management dashboard: real numbers across ideas, Go/No-Go and workflow outcomes. Win rate is shown only when there is enough outcome data.
Shared AI Credit Pool
A workspace-level shared AI word credit wallet. Spending order: project add-on wallet if present, then shared pool, then the credit owner's personal balance.

Operators manage everything, coordinators lead only their assigned projects, participants write only in the project they are assigned to. Example: Grant Office Team = 3 operators + 3 coordinators + 12 participants, a staff of 18 in total.

Terms and clear differences
What is the difference between operator, coordinator and participant?+-
The operator (core seat) is the core staff who can see the organizational library and (in Grant Office) all operation modules; they manage the portfolio and the team. The coordinator is the middle layer: they lead the projects they are assigned to and access the organizational library; office modules are closed to them by default, and an operator opens the ones they need per module. A participant only writes or reviews in the project room they are assigned to - they cannot see the library or office modules. In short: operators manage, coordinators lead projects, participants write.
What exactly can a coordinator do?+-
A coordinator is the project lead an operator assigns to a project: they work with full permissions on their assigned projects (except deleting the project) and benefit from the organizational library. Organization-wide office modules (Idea Hub, Call Radar, Go/No-Go, Workflow, Quality Gate, Reports) are closed to coordinators by default - an operator toggles these permissions per person and per module from the coordinator panel on the Team screen. This way an organization can have an external consultant or a department lead run projects without exposing the whole portfolio.
How much of Organizational Memory comes with each package?+-
All of it, in every paid package. The Content Library, Organizations and Partners directories are the full version in Team Workspace and in every Grant Office tier - we do not tier the library or hold it back for higher packages. Packages differ in capacity (operators/coordinators/participants), the shared AI pool and operation modules.
What is the shared AI credit pool? How is it different from kit credits?+-
When you purchase a kit, its AI credits are added to the buying account's personal balance; your signup bonus is not wiped, the credits stack on top. Project-specific add-on credit packs load into that project's wallet. The shared pool is an additional AI wallet shared across the workspace, available only in Grant Office. When AI generation runs on a workspace project, credits are spent in this order: the project's add-on wallet if present, then the shared pool, then the credit owner's personal balance. If the license expires the pool balance is not deleted - it is locked and reopens on renewal.

Team Workspace gives the shared workspace and the organizational memory library; Grant Office adds the grant operation layer on top of all of it: Idea Hub, Call Radar, Go/No-Go, Workflow, Calendar/Deadline Radar, Quality Gate, Management Reports and the shared AI credit pool.

The workspace is your organization's shared layer: team, roles, library and (in Grant Office) the operation modules and shared AI pool. Application writing runs on project kits: each application takes a suitable kit, purchased separately, with its own AI wallet. You buy the organizational layer once and add kits only for the applications you actually write - you never pay for unused capacity.
